Do you guarantee that I will win the tender?

No — and anyone who guarantees a win is lying to you. Tender evaluation is done by the contracting entity, not by us. What Smart Bid Rwanda guarantees is that your bid will be fully compliant, professionally prepared, and submitted correctly. That significantly improves your chances. Our record: zero disqualifications for documentation errors across 600+ bids.

What if we don't win the tender?

For the fixed fee model, the fee is non-refundable once work has started — preparation is done regardless of outcome. If you chose our success commission model, you pay a smaller upfront fee and we only earn the full commission when you win. If we make a documentation error that causes your disqualification, we prepare your next bid at no charge.

Can you help international companies bidding in Rwanda?

Yes — this is a core service. We handle the full local compliance for foreign firms: RPPA requirements, UMUCYO account setup, local subcontractor sourcing, document formatting and notarization, and bid submission. Many international companies enter Rwanda through Smart Bid Rwanda because they cannot navigate the local procurement system independently.

How long does bid preparation take?

For a standard bid with your documents already in order: 3–5 working days. For a complex international bid or a first-time client with documents to gather: 7–10 days. We always deliver at least 48 hours before the submission deadline. Rush service is available for urgent deadlines.

What documents do I need to provide?

At minimum: your RDB certificate, tax clearance, RSSB certificate, professional board licence, company profile, key staff CVs, and relevant past project references. If any documents are expired, we flag them immediately so you can renew before the deadline. We store your recurring compliance documents in a secure vault so they are always ready for the next bid.

Do you work with small firms as well as large ones?

We work with all sizes — from a sole proprietor consultancy applying for their first government contract to a large engineering firm managing multiple simultaneous bids. Our fee structure scales with the complexity of the bid, not the size of your company.
